Privacy Policy

1. Who we are
New Hope Kailua ("New Hope," "we," "us," or "our") is a church located in Kailua, Hawaii. This Privacy Notice explains what personal information we collect through our website, https://newhopekailua.org, and our online forms, how we use it, who we share it with, and the choices you have.
Contact us at any time:
• Email: info@newhopekailua.org
• Phone: (808) 235-0044
• Mailing address: 160 Moʻokua Street, Kailua, HI 96734

2. Information we collect
Information you give us through forms. We use forms hosted by Subsplash to collect information when you:
• Sign up for a Life Group (our Bible study groups)
• Tell us you are planning your first Sunday visit
• Contact us through our contact form

These forms may ask for your name, email address, phone number, the number of people in your party, any children's names or ages you choose to share, your group preferences, and any message you write to us. Please only share what you are comfortable sharing. Because these forms relate to church participation, the information you provide may indirectly reflect your religious interests or beliefs.

Online giving. If you give online, your gift is processed through Subsplash. When you give, Subsplash collects the information needed to process your donation, such as your name, contact information, gift amount, and payment details. New Hope does not receive or store your full credit card or bank account numbers. We receive giving records (such as donor name, amount, and date) so that we can record gifts and issue giving statements.

Information collected automatically. When you visit our website, we and our service providers (including Squarespace) may automatically collect technical information such as your IP address, browser type, device type, pages viewed, referring page, and the date and time of your visit. See Part 2 (Cookie Policy) for more detail.

Emails and phone calls. If you email or call us, we keep the content of your message and your contact details so we can respond and follow up.

3. How we use your information
We use your information to:
• Respond to your questions and messages
• Connect you with a Life Group and help you plan your first Sunday visit
• Welcome and follow up with newcomers and visitors
• Send you information about church services, events, and ministries you have asked about
• Process donations and issue giving receipts and statements
• Keep accurate church and donor records
• Operate, secure, and improve our website
• Comply with legal and tax obligations
We do not sell your personal information, and we do not share, sell, or rent customer mobile phone numbers to third parties or affiliates for marketing or promotional purposes. We do not use your information for third-party advertising.

4. How we handle form submissions
When you submit a form on our website, it is collected by Subsplash and forwarded to a church email inbox (info@newhopekailua.org). That inbox is a Google Workspace for Nonprofits account managed by a church administrator. Only authorized church staff and volunteers who need the information to serve you have access to it.

5. Our use of automation and artificial intelligence
To respond to form submissions more quickly, our church inbox uses automation tools from Google, including Google Apps Script, Google AI Studio, and Gemini. These tools help draft and send automatic email replies to people who submit our forms.
• What the AI receives: Only your email address and first name. We do not send the rest of your form (such as your message, phone number, or other details) to the AI tools.
• What it does: It helps generate a reply email to you, such as a confirmation or welcome message.
• Human involvement: Church staff and volunteers review incoming submissions and follow up personally. Automated replies are not used to make decisions about you.
• Google's role: Google processes this limited information as our service provider. Because we use the free tier of Google AI Studio, Google's terms for that service may allow data submitted through it to be used to improve Google's products. This is one reason we limit what the AI receives to your first name and email address.

If you would prefer not to receive an automated reply, tell us at info@newhopekailua.org and we will respond to you personally instead.

6. Who we share information with
We share personal information only as needed to run our ministry and website:
• Subsplash, which hosts our forms and processes online giving.
• Google, which provides our email, Google Workspace, and the automation and AI tools described above.
• Squarespace, which hosts our website.
• YouTube, Apple Podcasts, Spotify, and iHeartRadio, which we link to so you can watch or listen to our content. When you use these platforms, they may collect information about you under their own privacy policies.
• Church leaders and volunteers, such as Life Group leaders or welcome team members, who need your information to connect with you.
• Legal and safety needs. We may disclose information if required by law, to respond to legal process, or to protect the rights, safety, or property of our church, our members, or others.
These providers have their own privacy policies and handle information under their own terms. We do not sell or rent your information to anyone.

7. How long we keep your information
We keep form submissions, emails, and church records indefinitely so that we can maintain accurate ministry records, follow up with people over time, and keep a history of our communication with you. Giving records are kept as required for tax and accounting purposes.
You may ask us to delete your information at any time (see Section 9). We will honor reasonable requests, except where we must keep information for legal, tax, or safety reasons.

8. Security
We use reasonable safeguards to protect your information, including access-restricted accounts managed through Google Workspace and reputable service providers. No method of transmission or storage over the internet is completely secure, so we cannot guarantee absolute security. Please do not include sensitive details, such as financial account numbers, health information, or government ID numbers, in our contact or sign-up forms.

9. Your choices and rights
You may contact us at info@newhopekailua.org or (808) 235-0044 to:
• Ask what personal information we hold about you
• Correct inaccurate information
• Ask us to delete your information
• Opt out of emails, newsletters, or automated replies
• Ask questions about this notice
Every marketing or informational email we send will include a way to stop receiving future messages. Depending on where you live, you may have additional rights under local law, and we will honor those rights as required.

10. Children's privacy
Our website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through our website. Parents and guardians may share information about their children on our first-Sunday form (for example, to help us prepare for children's ministry). If you believe a child has submitted information to us directly, please contact us and we will delete it.

11. Links to other sites
Our website links to third-party sites and services, including YouTube, Apple Podcasts, Spotify, iHeartRadio, and Subsplash, as well as social media and partner ministries. When you click a link or play embedded content, that provider may collect information about you, such as your IP address and viewing or listening activity, and may set its own cookies. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies.

12. Changes to this notice
We may update this Privacy Notice from time to time. When we do, we will post the new version on this page and update the "Last updated" date above.

13. Text messaging (SMS)
We send text messages only to existing members of our church who have opted in. Members opt in verbally, during a phone call or in person, after we ask whether they would like to receive text messages from New Hope Kailua, including customer notifications, appointment reminders and scheduling updates, customer support messages, and delivery notifications.

Before they agree, we tell them that message frequency may vary, that message and data rates may apply, that they can reply STOP at any time to opt out, and that they can reply HELP for assistance. We also provide links to our Terms of Use and this Privacy Notice.

Mobile opt-in information, including phone numbers and SMS consent, will not be shared with third parties for marketing purposes. We use it only to send the messages you asked for. We do not share, sell, or rent customer mobile phone numbers to third parties or affiliates for marketing or promotional purposes. Text messages are delivered through service providers that help us send them, and those providers may only use your information to deliver our messages.
To stop receiving texts, reply STOP to any message. For help, reply HELP or contact us at info@newhopekailua.org or (808) 235-0044.
